1. What this policy covers

This policy explains how Update Sentinel ("we," "us") handles information when you visit updatesentinel.com and when you or your organization use the Update Sentinel application, relays and agents (the "Service"). Our Terms of Service also apply.

2. Information we collect

We only collect what we need to provide the Service:

• Account information: name, work email, organization name and role. If you sign in with Google or Microsoft, we receive your verified email and an account identifier from that provider.
• Licensing and billing information: plan, license counts, endpoint counts reported at check-in or package transfer (used for license compliance) and billing contact. Card details are handled by our payment processor. We don't store full card numbers.
• Service data from your machines: what the relays and agents report so the product can work, such as host names, IP addresses, operating system and hardware details, installed software, patch status, deployment results and relay health.
• Activity and audit records: actions taken in the Service (for example, approvals, rollouts and sign-ins), kept in your audit log.
• Support messages: what you send us when you ask for help.
• Technical logs: IP addresses, browser type and timestamps from our servers, used to keep the Service secure and working.

3. How we use it

We use information only to provide the Service. That means to:

• run, maintain, secure and support the Service
• deliver updates, reports and results to your organization
• manage your account, bill for the Service and send service-related messages
• detect, prevent and investigate abuse, fraud and security problems
• meet legal obligations

We don't use your information for anything else. In particular:

• We never sell or rent your information.
• We never use it for advertising or share it with advertisers.
• We don't build marketing profiles from your data.

4. When we share information

We share information only as needed to provide the Service:

• Service providers that run parts of the Service for us, such as cloud hosting (Microsoft Azure), email delivery and payment processing. They may use it only to provide their services to us.
• Within your organization, according to the roles your administrators assign.
• When the law requires it, or to protect the rights, safety and security of our customers, the public or us.
• In a business transfer, such as a merger or sale, where information would stay subject to this policy's protections.

5. This website

updatesentinel.com sets no cookies and runs no analytics, advertising or third-party scripts. Fonts, images and code are served from our own site. The application at app.updatesentinel.com uses only the storage it needs to keep you signed in and secure.

6. Where it lives and how we protect it

• The Service is hosted in Microsoft Azure data centers in the United States, where stored data is encrypted by default.
• Data moves over encrypted connections (HTTPS).
• Access is limited by role, and sensitive keys are kept in a managed key vault.
• No method of storage or transmission is perfectly secure, so we can't guarantee absolute security.

7. How long we keep it

We keep information while your account is active and as long as needed to provide the Service. After an account closes, we delete or anonymize its data within a reasonable period, except where we need to keep it to meet legal, security or billing obligations. Copies in backups are removed as those backups expire.

8. Your choices and rights

You can ask to see, correct, export or delete your personal information by emailing [email protected]. If your organization manages your account, we may refer your request to its administrators. Depending on where you live, you may have additional rights under local law, and we will honor them as required.

We won't treat you differently for exercising your privacy rights.

9. Children's privacy

The Service is for businesses and is not directed to children. We don't knowingly collect information from anyone under 16.

10. Changes to this policy

We may update this policy at any time, without notice. Changes take effect when they are posted here, and the published date at the top will change. Please check back from time to time. Continuing to use the Service after an update means you accept the updated policy.
